Email filters assist with managing and organizing mail flow based on the criteria applied to a message. In its simplest forms, the filter can hold or deliver emails based on the sender, content in the subject or body, or known data of the sending source and servers.
Email security filters improve email flow by holding messages that appear suspicious or malicious based on algorithms and anti-virus scans of attached files and embedded links.
Email filters are designed to alleviate the “noise” users receive from the internet by providing some control over the messages allowed to enter their email inbox.
Defining spam is a challenging job. Some of it is very obvious, but other messages can be considered legitimate depending on context or who you ask. This subjectivity creates opportunities for spam to “leak” into users’ mailboxes. All spam filters suffer from this blurred definition of spam.

No. CloudFilter offers a secure layer on top of Office 365’s spam filter. Microsoft provides the bare minimum against spam, and messages are delivered to a Junk Email folder which is part of a user’s mailbox. Malicious emails that are in the Junk Email folder can do a lot of damage because the user is opening the email on their computer. That’s not friendly or safe to small and medium business users.
Office 365’s spam filter is meant to organize the worst messages in a separate folder, but it often has false positives as well. We have seen Microsoft Xbox, and Dynamics emails end up in the Junk Email folder quite often. These messages are from Microsoft themselves!
Two primary considerations to replace the Office 365 filter: Suspicious and malicious emails should be held outside the user’s mailbox to prevent the user from accidentally unleashing a bad situation. And, users should have easy-to-understand, granular controls over their email filter from any device or platform, not just in Outlook.
Yes. Business users are accustomed to using their email from Google’s native tools in a web browser or their smartphone apps. Google’s spam filter does a pretty good job (in our opinion). Still, it also lacks the protection of keeping the email away from the user’s mailbox and isn’t easy to administer for granular control.
It is especially problematic in the web browser when Google users look through their Spam folder. The possibility to accidentally open a message or link that executes an unwanted action is way too high.
Managing the behavior of Google’s spam filter is also cumbersome. Adding an address to an allowlist, for example, requires creating a contact. That seems odd and difficult to manage later when users decide they may no longer want someone on the allowlist. Google’s spam filter also lacks the ease of use and granular options to protect business email users.
